Service Delivery Policy

At Rank Mario, we help local and service businesses across Canada and the United States dominate local search and generate qualified organic leads. This Service Delivery Policy outlines how we onboard clients, manage project timelines, communicate progress, and deliver all work products for our SEO engagements.

1. Onboarding Process

Upon receipt of a signed proposal or advance payment, Rank Mario will initiate the onboarding process within 2–3 business days. Onboarding includes:

  • Assignment of a dedicated SEO strategist or account lead
  • Completion of a discovery questionnaire covering your business, service areas, target cities, and competitors
  • A kickoff call to align on goals, timelines, and communication preferences
  • Collection of necessary access credentials (see Section 5)
  • Setup of reporting dashboards and communication channels

Delays in providing required information or access from the client's side may result in adjusted delivery timelines. Rank Mario is not responsible for delays attributable to the client.

2. Service Timelines

Estimated delivery timelines by service are as follows, subject to scope and project complexity:

  • Local SEO Strategy & Audit: Initial audit and keyword strategy delivered within 5–7 business days of onboarding completion
  • On-Page & Technical SEO: Technical audit within 5–7 business days; implementation timelines depend on website access and complexity
  • Google Business Profile (GBP) & Maps SEO: Profile audit and optimization plan within 3–5 business days; ongoing monthly management per agreed schedule
  • Content & Conversion (Location Pages, Service Pages, Blogs): First drafts delivered within 5–10 business days per content batch, depending on volume and research requirements
  • Monthly Reporting: Performance reports delivered within the first 5 business days of each new month, covering rankings, traffic, GBP metrics, and leads

All timelines are contingent on timely receipt of client materials, feedback, approvals, and platform access.

3. Geographic Scope

Rank Mario specializes in SEO for local and service businesses targeting customers across Canada and the United States. Deliverables are tailored for North American search algorithms, local intent signals, and city-specific or region-specific keyword landscapes.

If your business targets specific cities, provinces, states, or service areas, please communicate this clearly during onboarding so we can build your strategy accordingly.

4. Deliverable Review and Approvals

All deliverables — including strategy documents, content drafts, GBP posts, and technical recommendations — are shared with the client for review and approval before implementation or publication.

  • Clients are expected to review deliverables and provide feedback within 3 business days of receipt
  • Feedback should be consolidated and submitted in a single round unless additional revision rounds are included in your package
  • Approvals must be communicated clearly in writing (email or project management tool)
  • Standard packages include two rounds of revisions per deliverable. Additional revision rounds beyond the agreed scope may be quoted separately.

5. Platform Access Requirements

To perform the agreed SEO services, clients are required to provide Rank Mario with access to relevant platforms, including:

  • Google Search Console
  • Google Analytics (GA4)
  • Google Business Profile (Manager access)
  • Website CMS (WordPress, Shopify, Wix, or other)
  • Any existing third-party SEO tools or ad accounts relevant to the engagement

All credentials and account access are treated with strict confidentiality and used solely for service delivery purposes. Upon termination of the engagement, Rank Mario will remove its access from all client-owned accounts within 5 business days.

6. Communication and Reporting

Rank Mario is committed to transparent, data-driven communication throughout every engagement. Our standard practices:

  • Dedicated account lead as the primary point of contact
  • Monthly SEO performance reports covering keyword rankings, organic traffic, GBP insights, lead tracking, and ROI metrics
  • Availability via email and scheduled calls during business hours (Monday–Friday, 9:00 AM – 6:00 PM EST / PST)
  • Response to client queries within 1 business day
  • Proactive communication if any ranking changes, algorithm updates, or external factors require strategic adjustments

7. Delays and Force Majeure

Rank Mario will make every effort to meet agreed delivery timelines. In the event of unforeseen delays caused by circumstances beyond our control — including Google algorithm updates, third-party platform outages, or force majeure events — we will notify the client promptly and provide a revised timeline at no additional cost.

Rank Mario is not liable for delays caused by the client's failure to provide timely approvals, materials, or required platform access.

8. Project Completion and Handover

Upon completion of a project or termination of an ongoing retainer, Rank Mario will:

  • Deliver all final approved assets, reports, and strategy documents to the client
  • Provide a handover summary noting work completed, ongoing recommendations, and next steps
  • Remove Rank Mario team access from all client-owned accounts within 5 business days
  • Archive all project records for a minimum of 12 months

Rank Mario will not withhold any deliverable that has been paid for, regardless of the circumstances of contract termination.
